This policy explains what personal information VDL Vehicle Solutions collects when you contact us or use this website, what we do with it, how long we keep it and what rights you have over it. We have tried to write it in plain English rather than legal boilerplate.

VDL Vehicle Solutions is a mobile vehicle servicing and repair business operating across Derbyshire, Staffordshire and Cheshire. For the purposes of UK data protection law we are the data controller for the information described below.

What We Collect
We only collect what we need in order to quote for work, carry it out and keep a record of it. Depending on how you get in touch, that may include:
- Your name and contact details, such as phone number or email address
- Your address, postcode or the location of the vehicle
- Vehicle details such as make, model, year and registration
- A description of the fault or the work you want doing
- Records of work carried out, parts fitted and payments made
- Photographs of the vehicle or a fault, where these are useful for diagnosis or for your records
We do not ask for and do not want any information beyond what is needed for the job.
How You Give It To Us
Most enquiries reach us in one of three ways: a phone call, an email, or a WhatsApp message. The enquiry form on our contact page does not send anything to this website or store anything on it. It simply arranges the details you type into a WhatsApp message on your own device, which you then choose to send. If you do not press send, nothing reaches us.
Worth knowing: messages sent through WhatsApp are handled by WhatsApp, which is part of Meta. Their handling of your message is covered by their own privacy policy, not ours. If you would rather not use WhatsApp, please phone or email us instead.
Why We Use It, And Our Lawful Basis
We use your information to reply to enquiries, give quotes, arrange and carry out work, order the correct parts, invoice you and deal with anything that comes up afterwards such as a warranty question.
Where you have asked us to quote or carry out work, our lawful basis is the performance of a contract with you, or taking steps at your request before entering into one. Where we keep records of completed jobs, our lawful basis is our legitimate interests in being able to stand behind our work, answer later questions and run the business properly. Where the law requires us to keep records, such as for tax, our basis is legal obligation.
We do not use your details for marketing unless you have asked us to, and we do not sell or rent your information to anybody.
Who We Share It With
We share as little as possible, and only where it is necessary to do the job:
- Parts suppliers and factors, where a part has to be ordered against your vehicle
- Subcontractors or specialists, where a particular job needs them
- Our accountant and HMRC, for invoicing and tax records
- Our website host and IT providers, who may process data incidentally while keeping systems running
We do not pass your details to anyone else for their own marketing.
Cookies And This Website
This website does not set advertising or tracking cookies of its own, and we do not run analytics profiling on it. Some pages do include content loaded from other companies, and those companies may set cookies or see your IP address when the content loads:
- Google Maps — the maps embedded on our area pages are served by Google
- Google Fonts — the typefaces used across the site are loaded from Google
- Facebook — only if you click through to our page; we do not embed a tracking pixel
Your browser settings let you block or delete cookies if you would rather. The site will still work.
How Long We Keep It
Enquiries that do not turn into work are deleted once they are clearly no longer live. Records of completed work are kept for as long as they are useful for warranty and service history purposes. Invoices and payment records are kept for six years, which is the period HMRC requires for business records. After that they are deleted or destroyed.
Keeping It Safe
We take reasonable steps to protect the information we hold, including keeping devices password protected and limiting access to the people who need it. No system is perfect, but we do not hold large amounts of sensitive data and we do not keep card details.
Your Rights
Under UK data protection law you have the right to:
- Ask what personal data we hold about you and get a copy of it
- Ask us to correct anything that is wrong
- Ask us to delete it, where we have no continuing reason to keep it
- Ask us to restrict how we use it, or object to our use of it
- Ask for your data in a portable format
- Withdraw consent, where we relied on consent in the first place
To exercise any of these, contact us on the details above. We will respond within one month. There is no charge for a reasonable request.
Complaints
If you think we have handled your information badly, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk or on 0303 123 1113.
Changes To This Policy
If we change how we handle personal information we will update this page and change the date at the top. This version was published on 28 September 2026.
